When your child is accessing different services, supports and funding, it can feel like there’s always something to remember. From appointments and invoices to follow-ups and plan goals, it can quickly become overwhelming.

The good news? Simple systems and processes can help you feel more relaxed and in control.

Having an easy way to track your child’s appointments can help you:

  • avoid missed appointments and cancellation fees
  • keep on top of your funding and spending
  • feel more prepared at plan reviews.

Common challenges families face

Many families tell us they feel pressure when they’re:

  • trying to keep everything in their head
  • letting admin and invoices build up
  • losing track of follow-up tasks or next steps.

If this sounds familiar, you’re not alone. These challenges are incredibly common – and they can take time and energy away from what matters most.

By initiating a few simple but efficient processes, you can ease the strain on yourself, and free up more time for your family.

Find a system that works for you

There’s no point putting a process in place if it’s complicated, time consuming, or not compatible with your daily life.

That’s why we recommend using a simple system to track your child’s supports, such as:

  • one shared family calendar
  • a notes app on your phone
  • a dedicated notebook or folder.

Alternatively, you might prefer to use your NDIS platform (such as the My NDIS app) to keep everything in one place.

After each appointment, you can briefly note:

  • what happened
  • any recommendations or outcomes
  • next steps.

Other platforms that might work for you include:

Forecasting tool

Forecasting tools like My Spending Planner.

Task management app

Task management apps like Remember the Milk.

Medication tracking apps

Medication tracking apps such as Medisafe.

Medication tracking app

Medication tracking apps such as MyTherapy.

The key is keeping the process manageable. Keep everything in one place and focus on small, consistent habits rather than trying to organise everything at once.

You don’t have to do it on your own

Your support coordinator is there to help you every step of the way. If you'd like help setting up a system, don’t hesitate to reach out to them.

Every family is unique, so together you can find an approach that’s manageable, sustainable and right for you and your child.
